Assign Volunteer Shifts and Send Reminders Automatically

An n8n workflow that takes volunteer sign-ups, assigns them to open shifts, confirms by email, and reminds them the day before — so coordinators fill the schedule and reduce volunteer no-shows without a chain of manual messages.

  1. 1

    Catch the sign-up

A Webhook receives a volunteer's name, email and preferred shift.

  2. 2

    Assign to a slot

A Google Sheets read checks the slot's remaining capacity; a Code node assigns them if there's room or picks the nearest open slot, then updates the count.

  3. 3

    Confirm the shift

A Gmail node emails the assigned shift details with an add-to-calendar link and a cancel option.

  4. 4

    Remind the day before

A daily Schedule Trigger finds tomorrow's shifts and a Gmail node reminds each assigned volunteer.

Frequently asked questions

How are shifts assigned?

A shifts sheet lists slots with capacity. When a volunteer picks a preferred slot, the workflow checks remaining capacity and assigns them if there's room, decrementing the count. If full, it offers the nearest open slot instead.

Can it handle cancellations?

Yes — a cancel link frees the slot (incrementing capacity) and notifies the coordinator, who can then promote a waitlisted volunteer. Making changes easy keeps the schedule accurate right up to the event.
