Automate Weekly Timesheet Reminders So Nobody Submits Late

An n8n workflow that every Friday checks who hasn't submitted their timesheet and DMs only those people a friendly reminder — then escalates the stragglers to their manager on Monday — so payroll and billing close on time without HR chasing individuals.

  1. 1

    Run Friday afternoon

A Schedule Trigger fires Friday at 3 PM. Google Sheets reads both the team roster and this week's submitted timesheets.

  2. 2

    Find who's missing

A Code node subtracts submitters from the roster to get the list of people who still owe a timesheet.

  3. 3

    Remind the stragglers

A Slack node DMs each missing person a friendly nudge with the deadline and a link to submit.

  4. 4

    Escalate Monday

A second Monday-morning run re-checks and, for anyone still missing, notifies their manager — turning a chase into an automatic, fair escalation.

Frequently asked questions

How does it know who submitted?

It compares your team roster against the list of timesheets submitted this week (from a Google Sheet, Harvest, Clockify, or your PM tool). Anyone on the roster without a submission gets the reminder — so people who already did their timesheet aren't nagged.

Why DM instead of a channel blast?

A public 'submit your timesheets' message gets ignored; a personal 'you haven't submitted yet' gets action. DMing only the non-submitters keeps it relevant and avoids annoying the punctual majority.
