Calendly to Slack: Auto-Sync Every Booking with n8n (No Code)

  1. 1

    Add the Calendly Trigger node

Start with a Calendly Trigger node — connect your Calendly account and set the event to invitee.created so it fires whenever someone books a call. This fires the workflow the moment a new booking arrives.

  2. 2

Map the fields with a Set node

Add a Set node after the trigger to shape the data cleanly. Create fields: invitee_name to {{ $json.payload.name }}, invitee_email to {{ $json.payload.email }}, and event_time to {{ $json.payload.scheduled_event.start_time }}. This turns the raw payload into tidy values your destination can use.

  3. 3

    Send it to Slack

Add a Slack node set to operation Send Message. Connect your Slack workspace, choose the Channel, and set the message Text to a summary built from the Set-node fields, e.g. New booking: {{ $json.email }}.

  4. 4

    Activate and test

Click Activate in the top-right of the canvas. Trigger a test booking in Calendly, then confirm it appears in Slack. Once it works, you're done — every new booking now flows through automatically.

Frequently asked questions

Do I need any coding skills to set this up?

No. n8n is a visual, drag-and-drop tool. You connect your Calendly and Slack accounts, point the nodes at the right form/sheet/channel, map the fields, and activate. No code required.

What happens if my n8n workflow is off when a booking comes in?

It depends on the source. Services like Stripe, Shopify and HubSpot retry webhook deliveries for a period, so events are processed once the workflow is back on. For the most reliable capture, run this on n8n Cloud (always online) or keep your self-hosted instance up.

Can I send each booking to more than one place at once?

Absolutely. Branch the workflow after the Set node: connect it to multiple destination nodes so the same booking lands in Slack and, say, Slack or a spreadsheet simultaneously.
