Stale Capterra Review? Get Reminded via HubSpot

If a Capterra review sits untouched too long, this n8n workflow catches it and has HubSpot create or update a HubSpot record as a reminder — nothing falls through the cracks.

difficulty Intermediatesetup 25 minresult A hands-off n8n workflow where every relevant Capterra review automatically reaches HubSpot — create or update a HubSpot record.
  1. 1

    Fetch Capterra data

Add an HTTP Request node (or the native Capterra node if you have credentials set up) and point it at the Capterra API. Run on a Schedule Trigger and check review age. Add a Schedule Trigger before it if this recipe runs on a timer, or a Webhook node if Capterra can push events directly.

  2. 2

Shape the data with a Set node

Add a Set node after the fetch step to pull out the fields you need — e.g. id, title (or name), status, and updated_at from the Capterra review. This keeps the rest of the workflow clean and readable.

  3. 3

    Send it to HubSpot

Add a HubSpot node set to the right resource (Contact/Deal), operation Create/Update. Map the key field (usually email) and the rest from the Set node.

  4. 4

    Activate and test

Click Activate in the top-right corner. Trigger a real review in Capterra (or run the workflow manually against existing data) and confirm it lands correctly in HubSpot. Once verified, this runs hands-off.

Frequently asked questions

Do I need to code anything?

No. n8n is a visual, drag-and-drop builder. You connect your Capterra and HubSpot accounts, map the fields, and activate — no code required.

Where do I get my Capterra API credentials?

In your Capterra account settings, look for "API", "Developers" or "Integrations" and generate an API key or token. Paste it into n8n's HTTP Request node (as a header or credential) or the native Capterra node if one is available.

Can I filter which items trigger this workflow?

Yes. Add an `IF` node after the Set node with a condition on any field (status, amount, tag, etc.). Wire the TRUE branch to the HubSpot step and leave FALSE empty to skip the rest.
