Stale Google Workspace Event? Get Reminded via HubSpot

If a Google Workspace event sits untouched too long, this n8n workflow catches it and has HubSpot create or update a HubSpot record as a reminder — nothing falls through the cracks.

difficulty Beginnersetup 25 minresult A hands-off n8n workflow where every relevant Google Workspace event automatically reaches HubSpot — create or update a HubSpot record.
  1. 1

    Fetch Google Workspace data

Add an HTTP Request node (or the native Google Workspace node if you have credentials set up) and point it at the Google Workspace API. Run on a Schedule Trigger and check event age. Add a Schedule Trigger before it if this recipe runs on a timer, or a Webhook node if Google Workspace can push events directly.

  2. 2

Shape the data with a Set node

Add a Set node after the fetch step to pull out the fields you need — e.g. id, title (or name), status, and updated_at from the Google Workspace event. This keeps the rest of the workflow clean and readable.

  3. 3

    Send it to HubSpot

Add a HubSpot node set to the right resource (Contact/Deal), operation Create/Update. Map the key field (usually email) and the rest from the Set node.

  4. 4

    Activate and test

Click Activate in the top-right corner. Trigger a real event in Google Workspace (or run the workflow manually against existing data) and confirm it lands correctly in HubSpot. Once verified, this runs hands-off.

Frequently asked questions

Do I need to code anything?

No. n8n is a visual, drag-and-drop builder. You connect your Google Workspace and HubSpot accounts, map the fields, and activate — no code required.

Where do I get my Google Workspace API credentials?

In your Google Workspace account settings, look for "API", "Developers" or "Integrations" and generate an API key or token. Paste it into n8n's HTTP Request node (as a header or credential) or the native Google Workspace node if one is available.

Can I filter which items trigger this workflow?

Yes. Add an `IF` node after the Set node with a condition on any field (status, amount, tag, etc.). Wire the TRUE branch to the HubSpot step and leave FALSE empty to skip the rest.
